AUTOMATION · FOLLOW-UP · SYSTEMS — FRASER VALLEY & METRO VANCOUVER

Calls answered. Leads chased. Invoices paid.

We take the admin off your plate. Calls, follow-ups, invoices and paperwork, automated in the tools you already use, then managed as your business grows.

Same job. Two endings.

Most businesses don't have a lead problem. They have a follow-through problem.

Without a system

  1. A customer calls about a job.
  2. MISSED CALLIt rings out. You're on a job site. They leave a voicemail.
  3. SLOW CALLBACKYou call back. They'll still take a quote.
  4. NO FOLLOW-UPYou send the quote. Then nothing.
  5. No word from you. They ask someone else.
  6. You finally follow up. "We went with someone else."

Job lost

With Penstock

  1. A customer calls about a job.
  2. Picked up on the first ring. Estimate booked, lead in your CRM.
  3. Quote sent. Two days later, a follow-up in your words.
  4. They say yes. The job is booked.
  5. Job done. An invoice reminder with a pay link. Paid in 3 days.
  6. A check-in from you. They book the next job.

Paid, and booked again

Every gap in the follow-through is a job someone else books.

Book a call

You make one call. Penstock takes it from there.

Here’s what happens after that call, from the first look at your business to the monthly check-in. Your part is about an hour. First fixes are live in under 48 hours.

  1. Learn how you work.

A short call, then a closer look at how calls, quotes, jobs and invoices move through your business today, whatever tools you use now.

  2. Find the leaks.

Missed calls, quotes nobody chased, invoices sitting unpaid, hours lost to admin. You get a clear list, ranked by what each one costs you.

  3. Automate the fix.

Follow-ups, reminders and handoffs that run on their own. All built into your current setup or a new system if you need one. Tested to hold up on your busiest week.

  4. Keep it running.

A monthly look at why clients booked or where they dropped off, plus fixes and new automations as the business grows.

Built around your current setup, or a new one if you need it. Written for your jobs, in your words. Not a template.

SET UP YOUR WAYYou set the rules. Here are the ones Kestrel uses in this call:

  1. If there’s an active leakflag it urgent, the crew goes first
  2. If it could be an insurance jobask about the claim
  3. If they’re booking a visitask about gates and dogs
  4. If they pick a timeoffer mornings only

The texts too: you choose what's in them, who gets them and when.

Setup is only the start. Most clients keep us on a monthly retainer: we manage what we've set up together, keep an eye on what's working, and help you as the business grows.

  • A monthly report you can act on. Why people called, why some hung up, what they kept asking for, and what to change next.
  • New automations as you grow. New crew? New service? New area? The systems keep up.
  • Close by. We're based in Chilliwack, so we can sit down in person when that's easier.

WORKS WITH WHAT YOU HAVE, OR A NEW SETUP IF YOU NEED ONE

  • Accounting
  • Email and calendars
  • Phones and texting
  • Payments
  • Spreadsheets
  • AI assistants

Start with one. Grow from there.

Every service can be set up on its own, with a fixed quote before anything starts. No bundles, no surprise invoices.

  1. Start with one

Pick the one service that's costing you most right now. Set up in the tools you already use.

  2. Add as you grow

Once the first is paying for itself, add the next. Each piece gets its own fixed quote and plugs into what's already running.

  3. Run the whole system

Calls, follow-up, invoices, your CRM and training, connected and run for you every month.

Services start from $1,500 to set up and $400 a month (CAD). Every project gets a fixed quote before anything starts: one setup price plus a monthly plan. We'll show you whether it pays for itself before you commit. Penstock sets it all up and keeps it running, instead of you stitching tools together for months. Need a site refresh or branded quote templates to match? That can be part of the setup.

Not sure which step fits? We'll work it out on the call.

SET UP FOR

How fast can it be live?

Your first fixes are usually live within 48 hours of our call. Past the call, all you do is share a few logins and approve the messages, about an hour of your time all in. Bigger work, like moving to a new system or recording training videos, rolls out in stages after that, and you'll know the timeline up front.

What if I want to answer the call myself?

Then you do. It's set up around how you like to work, not the other way round. If you want, your phone rings first and it only picks up when you can't: after a few rings, after hours, or while you're on a job. Or it answers every call and texts you the details right away, so you can call back when you're free. Urgent calls can come straight through to you. We set the rules together, and you can change them any time.

Do I have to replace my receptionist?

No. If someone already answers your phones, they keep doing it. Call answering only picks up the calls that would otherwise be missed: when they're on another line, at lunch, after hours or on weekends.

Will the messages sound like a bot?

No. Every message is written with you, for the kind of job it's about, in the way you already talk to customers, and you approve it before anything goes out. If you want, follow-ups can also leave a short voicemail that sounds like you.

I already use job management software. Does this replace it?

No. We build around the tools you already run, or help you set up a new system if yours is holding you back.

What happens after it's set up?

Most businesses keep us on a monthly plan. We look after what we set up, check in on what's working, and add the next improvement when you're ready, so the system grows with the business. We're based in Chilliwack, so if you'd rather talk it through in person, we can meet.

How much does it cost?

It depends on what you want taken off your plate. Services start from $1,500 to set up and $400 a month (CAD). You'll get a fixed quote on the call, with a setup price and a monthly plan, and we'll run the numbers with you on whether it pays for itself.

Do you build websites?

When it helps the system. A site refresh, a booking or payment page, or branded quote and invoice templates can be part of a setup, so what customers see matches what runs behind it. It isn't our main focus, and for bigger web or ad projects we'll point you to a partner we trust.

What happens on the call?

Twenty minutes. We walk through how a job moves through your business, from the first call to getting paid, and where time and money slip away. You'll leave knowing what's worth automating first, and whether it would pay for itself. If it won't, we'll tell you. Bigger setups start with a leak audit: we sit down with you and your team, map how the work actually flows, and hand you a plan with the fixes ranked by what they're worth.

See what you can take off your plate.

Book a 20-minute call. You'll leave knowing where time and money slip away, and what's worth automating first, whether you work with us or not. If we go ahead, your first fixes are usually live within 48 hours.
