The front desk is checking someone in. The phone rings again.

Penstock answers the calls the desk can’t get to, cuts the no-shows, fills the gaps from your waitlist and brings patients back to finish their care. Booking and admin only, never clinical records. For physio, chiro, massage and dental clinics in the Fraser Valley and Metro Vancouver.

A normal day at the front desk.

WHAT KIND OF CLINIC?

The same day, with Penstock.

Same five moments. The desk got to look up.

  1. YOU TICKED THIS

Three patients at the desk, two lines ringing. One goes to voicemail.

Answered on the second ring. A new patient assessment booked into Thursday, the intake form texted, and the desk never looked up.

    Call answering
    TEXTED TO KAREN

Hi Karen, you’re booked with Priya on Thursday at 3 PM. Here’s your intake form, it takes about five minutes. See you then!

  2. YOU TICKED THIS

Your 10:30 didn’t show. No call, no text.

A reminder went out the day before, and she moved her visit instead of forgetting it. The open slot went to the waitlist and was filled by ten.

    Reminders & waitlist
TEXTED TO MARK, FROM THE WAITLIST

Hi Mark, a 10:30 just opened up with Priya today. Want it? Just let us know.

  3. YOU TICKED THIS

A stack of small balances the insurance didn’t cover.

Each patient got a friendly note with what’s left and a pay link. Most paid that week.

    Balance reminders
    TEXTED TO LINDA

Hi Linda, a quick note from Riverside: there’s $24 left on your visit from Tuesday after your plan paid its part. Here’s the link if that’s easier.

  4. YOU TICKED THIS

A patient stopped booking halfway through their treatment plan.

Two weeks without a booking, she got a check-in from the clinic. She booked her next visit.

    Patient reactivation
    TEXTED TO HANNAH

Hi Hannah, it’s Riverside checking in. It’s been a few weeks since your last visit. Want us to find you a time?

  5. YOU TICKED THIS

Today’s voicemails, intake forms to file, tomorrow’s reminders to send.

Voicemails were already handled, intake forms were filed with each booking, and tomorrow’s reminders went out on their own.

    YOUR END OF DAY

Tomorrow: 18 bookings, all reminded. 2 moved, 1 cancellation filled from the waitlist.

Same day. Fuller book. Quieter desk.

Book a call

The people, businesses and messages here are made up, to show the idea. Yours are written with you, in your words, and you approve them before anything goes out.

What it won’t do.

Honest limits, so nothing surprises you, your team or your patients.

  • Won’t give medical advice

It books, reminds and answers questions about the clinic. Anything clinical goes to your team.

  • Won’t touch clinical records

It stays in booking and admin. Charts stay with your practitioners.

  • Won’t put health details in a text

Messages say when and where, never why.

  • Won’t handle an emergency

Anyone describing an emergency is told to call 911.

  • Won’t pretend to know

When it isn’t sure, it says so, takes a message and tells the desk.

  • Won’t make you switch booking software

It works with the system your desk already uses.

Everything else, it handles. Anything it shouldn’t, it hands to you.

  1. One call, at lunch if you like.

Twenty minutes on how calls, bookings, reminders and billing work at the desk today.

  2. First fixes live in under 48 hours.

Usually overflow calls and reminders first. You read every message before it goes live.

  3. I keep it running.

Every month: calls, no-shows, gaps filled, patients back on their plan, and what to change.

Questions, answered.

Does it replace my front desk?

No. It catches the calls they can’t get to and takes the repetitive work off them, so they can look after the patients in front of them.

What about patient privacy?

It handles booking and admin only, never clinical records, and messages say when and where, never why. Calls are recorded and transcribed so you have a record, you choose how long things are kept, and it’s set up with you around BC’s privacy law.

What if a caller has a clinical question?

It doesn’t answer clinical questions. It takes a message for the right practitioner, or tells them to call 911 if it sounds like an emergency.

Can it fill cancellations from the waitlist?

Yes. When a spot opens, it texts the next people on your waitlist, and the first to say yes gets it.

Does it work with our booking software?

It works with your current setup, or a new system if yours is holding you back.

How much of our time does setup take?

About an hour, all in. A 20-minute call, a few logins, and a quick read of the messages before they go live.

See what you could take off your plate.

Book a 20-minute call. You'll leave knowing where time and money slip away, and what's worth automating first, whether you work with us or not. If we go ahead, your first fixes are usually live within 48 hours.
